KSeF (Krajowy System e-Faktur) to jedna, centralna platforma państwa, na której powstają, krążą i są przechowywane faktury między firmami. Zamiast wysyłać fakturę mailem czy pocztą, wystawiasz ją w tym systemie, a Twój kontrahent odbiera ją z tego samego miejsca.
Można to porównać do wspólnej „skrzynki na faktury” prowadzonej przez urząd — każda faktura trafia tam automatycznie, dostaje swój numer i jest bezpiecznie zapisana. Faktura w KSeF (tzw. faktura ustrukturyzowana) ma zawsze ten sam, uporządkowany format, więc każdy program potrafi ją odczytać.
Głównym celem jest uszczelnienie systemu VAT i ograniczenie oszustw — gdy wszystkie faktury przechodzą przez jeden system państwa, trudniej o „lewe” dokumenty. Przy okazji ma to uprościć życie firmom: koniec z gubieniem faktur, ręcznym przepisywaniem danych i szukaniem dokumentów po mailach. Państwo zyskuje przejrzystość, a przedsiębiorcy — jedno miejsce, w którym są wszystkie faktury.
Tworzysz fakturę tak jak dotychczas — w programie do fakturowania lub w panelu, przez który pracujesz z biurem.
Zamiast wysyłać ją samodzielnie, faktura jest przekazywana do systemu, który automatycznie sprawdza, czy ma wszystkie wymagane pola.
System nadaje fakturze unikalny numer i datę — to dowód, że oficjalnie istnieje. Za datę wystawienia uznaje się dzień przesłania do KSeF.
Twój kontrahent widzi fakturę w KSeF od razu. Nie trzeba nic wysyłać ani drukować.
System przechowuje ją przez 10 lat, więc nie musisz jej sam archiwizować i zawsze masz do niej dostęp.
Gdy nie masz dostępu do internetu, fakturę można wystawić w trybie offline i przesłać do KSeF w następnym dniu roboczym — sprzedaż nie jest blokowana.

Do 31 grudnia 2026 obowiązuje okres przejściowy — kary za błędy lub brak faktury w KSeF są zawieszone, aby dać firmom czas na spokojne przygotowanie się.
Faktur dla osób prywatnych (B2C) na razie nie wystawia się w KSeF — zostają na dotychczasowych zasadach.
Paragony z NIP do 450 zł traktowane jak faktury uproszczone pozostają poza KSeF.
Podmioty zagraniczne bez stałego miejsca prowadzenia działalności w Polsce nie mają obowiązku — mogą korzystać dobrowolnie.
W praktyce zmienia się głównie droga, jaką pokonuje faktura — zamiast maila i PDF-a jest jeden system. Mniej papieru, mniej ręcznego wysyłania i mniejsze ryzyko, że faktura gdzieś zaginie. Forma opodatkowania, terminy płatności czy stawki VAT pozostają bez zmian.

Eine KSeF-Rechnung (eine sogenannte strukturierte Rechnung) hat immer dasselbe, geordnete Format, sodass jedes Programm sie lesen kann.
Das Hauptziel ist es, das Mehrwertsteuersystem dichter zu machen und Betrug zu verringern — wenn alle Rechnungen durch ein zentrales staatliches System laufen, sind gefälschte Belege schwerer möglich. Gleichzeitig soll es den Unternehmen das Leben erleichtern: keine verlorenen Rechnungen mehr, kein manuelles Abtippen und kein Suchen in E-Mails. Der Staat gewinnt an Transparenz, die Unternehmer bekommen einen Ort, an dem alle Rechnungen liegen.
Sie erstellen die Rechnung wie bisher — in Ihrem Rechnungsprogramm oder im Portal, über das Sie mit dem Büro arbeiten.
Statt sie selbst zu versenden, wird die Rechnung an das System übergeben, das automatisch prüft, ob alle Pflichtfelder vorhanden sind.
Das System vergibt eine eindeutige Nummer und ein Datum — der Nachweis, dass die Rechnung offiziell existiert. Als Ausstellungsdatum gilt der Tag der Übermittlung an KSeF.
Ihr Geschäftspartner sieht die Rechnung sofort in KSeF. Nichts muss verschickt oder gedruckt werden.
Das System bewahrt sie 10 Jahre lang auf — Sie müssen nicht selbst archivieren und haben jederzeit Zugriff.
Wenn Sie keinen Internetzugang haben, kann die Rechnung im Offline-Modus ausgestellt und am nächsten Werktag an KSeF übermittelt werden — der Verkauf wird nicht blockiert.
Sie müssen sich nicht in staatliche Systeme einarbeiten. In der Praxis haben Sie mehrere Wege:

KSeF (Krajowy System e-Faktur, the National e-Invoice System) is a single, central government platform where invoices between businesses are created, exchanged and stored. Instead of sending an invoice by email or by post, you issue it in this system, and your business partner picks it up from the same place.
Think of it as a shared "invoice mailbox" run by the tax office — every invoice lands there automatically, gets a number and is kept safe. A KSeF invoice (a so-called structured invoice) always has the same, orderly format, so any software can read it.
The main goal is to tighten the VAT system and reduce fraud — when every invoice passes through one central government system, fake documents are much harder. At the same time it is meant to make life easier for businesses: no more lost invoices, no manual re-typing and no digging through emails. The state gains transparency, and business owners get one place where all their invoices live.
You create the invoice just as you do now — in your invoicing software or in the portal you use to work with the office.
Instead of sending it yourself, the invoice is passed to the system, which automatically checks that all required fields are there.
The system assigns a unique number and a date — proof that the invoice officially exists. The date it is sent to KSeF counts as the issue date.
Your business partner sees the invoice in KSeF straight away. Nothing needs to be sent or printed.
The system keeps it for 10 years, so you don't have to archive it yourself and you always have access to it.
If you have no internet access, an invoice can be issued in offline mode and sent to KSeF on the next business day — your sale is not blocked.
You don't need to learn government systems. In practice you have several options:
Using KSeF requires authentication (e.g. a Trusted Profile, a qualified signature, a company seal or a token) or an authorisation for the office. The biggest day-to-day change: you no longer email invoices — you view them in the system or in your client portal.
KSeF has been available voluntarily since 2022 — any business can start earlier, before the system becomes mandatory for it. Over time, every business will receive its invoices through KSeF.
Until 31 December 2026 there is a transition period — penalties for mistakes or a missing KSeF invoice are suspended, giving businesses time to prepare calmly.
