Co to jest KSeF — najprościej

KSeF (Krajowy System e-Faktur) to jedna, centralna platforma państwa, na której powstają, krążą i są przechowywane faktury między firmami. Zamiast wysyłać fakturę mailem czy pocztą, wystawiasz ją w tym systemie, a Twój kontrahent odbiera ją z tego samego miejsca.

Można to porównać do wspólnej „skrzynki na faktury” prowadzonej przez urząd — każda faktura trafia tam automatycznie, dostaje swój numer i jest bezpiecznie zapisana. Faktura w KSeF (tzw. faktura ustrukturyzowana) ma zawsze ten sam, uporządkowany format, więc każdy program potrafi ją odczytać.

Po co powstał KSeF

Głównym celem jest uszczelnienie systemu VAT i ograniczenie oszustw — gdy wszystkie faktury przechodzą przez jeden system państwa, trudniej o „lewe” dokumenty. Przy okazji ma to uprościć życie firmom: koniec z gubieniem faktur, ręcznym przepisywaniem danych i szukaniem dokumentów po mailach. Państwo zyskuje przejrzystość, a przedsiębiorcy — jedno miejsce, w którym są wszystkie faktury.

Jak to działa — krok po kroku

Wystawiasz fakturę

Tworzysz fakturę tak jak dotychczas — w programie do fakturowania lub w panelu, przez który pracujesz z biurem.

Faktura trafia do KSeF

Zamiast wysyłać ją samodzielnie, faktura jest przekazywana do systemu, który automatycznie sprawdza, czy ma wszystkie wymagane pola.

Dostaje numer KSeF

System nadaje fakturze unikalny numer i datę — to dowód, że oficjalnie istnieje. Za datę wystawienia uznaje się dzień przesłania do KSeF.

Twój kontrahent widzi fakturę w KSeF od razu. Nie trzeba nic wysyłać ani drukować.

Faktura jest archiwizowana

System przechowuje ją przez 10 lat, więc nie musisz jej sam archiwizować i zawsze masz do niej dostęp.

Gdy nie masz dostępu do internetu, fakturę można wystawić w trybie offline i przesłać do KSeF w następnym dniu roboczym — sprzedaż nie jest blokowana.

Jak się z tego korzysta w praktyce

Nie musisz uczyć się obsługi rządowych systemów. W praktyce masz kilka dróg:

  • Przez swój program do fakturowania lub księgowości połączony z KSeF — faktura leci do systemu jednym kliknięciem.
  • Przez bezpłatne narzędzia Ministerstwa Finansów (Aplikacja Podatnika KSeF, e-mikrofirma), jeśli wystawiasz niewiele faktur.
  • Najprościej: Twoje biuro rachunkowe robi to za Ciebie na podstawie pełnomocnictwa — Ty tylko przekazujesz dane do faktury.

Do korzystania z KSeF potrzebne jest uwierzytelnienie (np. Profil Zaufany, podpis kwalifikowany, pieczęć firmowa lub token) albo pełnomocnictwo dla biura. Najważniejsza zmiana w codziennej pracy: nie wysyłasz już faktur mailem — sprawdzasz je w systemie lub w panelu klienta.

Kto może, a kto musi korzystać z KSeF

Kto może już teraz

KSeF działa dobrowolnie już od 2022 roku — każda firma może zacząć wcześniej, zanim system stanie się dla niej obowiązkowy. Odbierać faktury przez KSeF z czasem będą wszyscy przedsiębiorcy.

Kto musi — i od kiedy

1 lutego 2026
Obowiązek wystawiania e-faktur zaczyna się od największych firm (sprzedaż powyżej 200 mln zł w 2024 r.). Od tego dnia wszyscy przedsiębiorcy odbierają już faktury przez KSeF.
1 kwietnia 2026
Najważniejsza data dla większości firm — obowiązek obejmuje pozostałych czynnych podatników VAT oraz podatników zwolnionych z VAT, w tym jednoosobowe działalności i małe firmy.
1 stycznia 2027
Ostatni etap dla najmniejszych — firm o sprzedaży do 10 tys. zł brutto miesięcznie.

Do 31 grudnia 2026 obowiązuje okres przejściowy — kary za błędy lub brak faktury w KSeF są zawieszone, aby dać firmom czas na spokojne przygotowanie się.

Kogo KSeF (na razie) nie obejmuje

Faktury dla konsumentów

Faktur dla osób prywatnych (B2C) na razie nie wystawia się w KSeF — zostają na dotychczasowych zasadach.

Paragony i faktury uproszczone

Paragony z NIP do 450 zł traktowane jak faktury uproszczone pozostają poza KSeF.

Firmy zagraniczne bez siedziby w PL

Podmioty zagraniczne bez stałego miejsca prowadzenia działalności w Polsce nie mają obowiązku — mogą korzystać dobrowolnie.

Czy potrzebuję specjalnego programu?
Nie musisz nic kupować. Możesz skorzystać z bezpłatnych narzędzi rządowych albo swojego programu do fakturowania. Najczęściej całością zajmuje się biuro rachunkowe.
Co z moimi zagranicznymi klientami?
KSeF dotyczy przede wszystkim faktur między firmami w Polsce. Fakturę dla klienta zagranicznego czy konsumenta przekazujesz mu jak dotąd (np. w PDF) — możesz ją pobrać z systemu.
Co, jeśli nie mam internetu?

Was ist KSeF — einfach erklärt

KSeF (Krajowy System e-Faktur, das nationale E-Rechnungssystem) ist eine zentrale staatliche Plattform, auf der Rechnungen zwischen Unternehmen entstehen, ausgetauscht und gespeichert werden. Statt eine Rechnung per E-Mail oder per Post zu verschicken, stellen Sie sie in diesem System aus, und Ihr Geschäftspartner ruft sie am selben Ort ab.

Man kann es sich wie einen gemeinsamen „Rechnungs-Briefkasten“ vorstellen, der vom Finanzamt betrieben wird — jede Rechnung landet dort automatisch, erhält eine Nummer und wird sicher aufbewahrt. Eine KSeF-Rechnung (eine sogenannte strukturierte Rechnung) hat immer dasselbe, geordnete Format, sodass jedes Programm sie lesen kann.

Wozu KSeF eingeführt wurde

Das Hauptziel ist es, das Mehrwertsteuersystem dichter zu machen und Betrug zu verringern — wenn alle Rechnungen durch ein zentrales staatliches System laufen, sind gefälschte Belege schwerer möglich. Gleichzeitig soll es den Unternehmen das Leben erleichtern: keine verlorenen Rechnungen mehr, kein manuelles Abtippen und kein Suchen in E-Mails. Der Staat gewinnt an Transparenz, die Unternehmer bekommen einen Ort, an dem alle Rechnungen liegen.

Wie es funktioniert — Schritt für Schritt

Sie stellen eine Rechnung aus

Sie erstellen die Rechnung wie bisher — in Ihrem Rechnungsprogramm oder im Portal, über das Sie mit dem Büro arbeiten.

Die Rechnung geht an KSeF

Statt sie selbst zu versenden, wird die Rechnung an das System übergeben, das automatisch prüft, ob alle Pflichtfelder vorhanden sind.

Sie erhält eine KSeF-Nummer

Das System vergibt eine eindeutige Nummer und ein Datum — der Nachweis, dass die Rechnung offiziell existiert. Als Ausstellungsdatum gilt der Tag der Übermittlung an KSeF.

Der Kunde ruft sie ab

Ihr Geschäftspartner sieht die Rechnung sofort in KSeF. Nichts muss verschickt oder gedruckt werden.

Die Rechnung wird archiviert

Das System bewahrt sie 10 Jahre lang auf — Sie müssen nicht selbst archivieren und haben jederzeit Zugriff.

Wenn Sie keinen Internetzugang haben, kann die Rechnung im Offline-Modus ausgestellt und am nächsten Werktag an KSeF übermittelt werden — der Verkauf wird nicht blockiert.

Wie man es in der Praxis nutzt

Sie müssen sich nicht in staatliche Systeme einarbeiten. In der Praxis haben Sie mehrere Wege:

  • Über Ihr Rechnungs- oder Buchhaltungsprogramm, das mit KSeF verbunden ist — die Rechnung geht mit einem Klick ins System.
  • Über die kostenlosen Werkzeuge des Finanzministeriums (Aplikacja Podatnika KSeF, e-mikrofirma), wenn Sie nur wenige Rechnungen ausstellen.
  • Am einfachsten: Ihr Buchhaltungsbüro erledigt es per Vollmacht für Sie — Sie liefern nur die Rechnungsdaten.

Für die Nutzung von KSeF ist eine Authentifizierung nötig (z. B. Profil Zaufany, qualifizierte Signatur, Unternehmenssiegel oder Token) oder eine Vollmacht für das Büro. Die wichtigste Änderung im Alltag: Sie versenden Rechnungen nicht mehr per E-Mail — Sie sehen sie im System oder im Kundenportal.

Wer darf — und wer muss KSeF nutzen

Wer schon jetzt darf

KSeF steht bereits seit 2022 freiwillig zur Verfügung — jedes Unternehmen kann früher beginnen, bevor das System für es verpflichtend wird. Rechnungen über KSeF empfangen mit der Zeit alle Unternehmer.

Wer muss — und ab wann

1. Februar 2026
Die Pflicht zur E-Rechnung beginnt bei den größten Unternehmen (Umsatz über 200 Mio. PLN im Jahr 2024). Ab diesem Tag empfangen bereits alle Unternehmer ihre Rechnungen über KSeF.
1. April 2026
Das wichtigste Datum für die meisten Firmen — die Pflicht gilt dann für alle übrigen aktiven USt-Zahler sowie für umsatzsteuerbefreite Unternehmer, einschließlich Einzelunternehmen und kleiner Betriebe.
1. Januar 2027
Letzte Stufe für die Kleinsten — Firmen mit einem Umsatz bis 10.000 PLN brutto pro Monat.

Bis zum 31. Dezember 2026 gilt eine Übergangsphase — Sanktionen für Fehler oder fehlende KSeF-Rechnungen sind ausgesetzt, damit sich Unternehmen in Ruhe vorbereiten können.

Wen KSeF (vorerst) nicht betrifft

Rechnungen an Verbraucher

Rechnungen an Privatpersonen (B2C) werden vorerst nicht über KSeF ausgestellt — es gelten die bisherigen Regeln.

Kassenbons & vereinfachte Rechnungen

Kassenbons mit NIP bis 450 PLN, die als vereinfachte Rechnungen gelten, bleiben außerhalb von KSeF.

Ausländische Firmen ohne Sitz in PL

Ausländische Unternehmen ohne feste Niederlassung in Polen sind nicht verpflichtet — sie können KSeF freiwillig nutzen.

  • Rechnungen gehen nicht verloren, kein Streit darüber, ob ein Beleg angekommen ist.

Was das für Sie bedeutet

In der Praxis ändert sich vor allem der Weg, den eine Rechnung nimmt — statt E-Mail und PDF gibt es ein einziges System. Weniger Papier, weniger manueller Versand und ein geringeres Risiko, dass eine Rechnung verloren geht. An Ihrer Steuerform, den Zahlungsfristen oder den USt-Sätzen ändert sich dadurch nichts.

Häufige Fragen

Brauche ich ein spezielles Programm?
Sie müssen nichts kaufen. Sie können die kostenlosen staatlichen Werkzeuge oder Ihr Rechnungsprogramm nutzen. Meist übernimmt das Buchhaltungsbüro alles.
Was ist mit meinen ausländischen Kunden?
KSeF betrifft vor allem Rechnungen zwischen Unternehmen in Polen. Die Rechnung für einen ausländischen Kunden oder Verbraucher übermitteln Sie wie bisher (z. B. als PDF) — Sie können sie aus dem System herunterladen.
Was, wenn ich kein Internet habe?
Die Rechnung kann im Offline-Modus ausgestellt und am nächsten Werktag an KSeF übermittelt werden. Der Verkauf wird nicht gestoppt.
Gehen Kassenbons auch an KSeF?

What KSeF is and how it works

KSeF is the government system through which businesses in Poland will issue and receive invoices. Below we explain, in plain language, what it is, how it works and from when it applies to you — no jargon.

What KSeF is — explained simply

KSeF (Krajowy System e-Faktur, the National e-Invoice System) is a single, central government platform where invoices between businesses are created, exchanged and stored. Instead of sending an invoice by email or by post, you issue it in this system, and your business partner picks it up from the same place.

Think of it as a shared "invoice mailbox" run by the tax office — every invoice lands there automatically, gets a number and is kept safe. A KSeF invoice (a so-called structured invoice) always has the same, orderly format, so any software can read it.

Why KSeF was introduced

The main goal is to tighten the VAT system and reduce fraud — when every invoice passes through one central government system, fake documents are much harder. At the same time it is meant to make life easier for businesses: no more lost invoices, no manual re-typing and no digging through emails. The state gains transparency, and business owners get one place where all their invoices live.

How it works — step by step

You issue an invoice

You create the invoice just as you do now — in your invoicing software or in the portal you use to work with the office.

The invoice goes to KSeF

Instead of sending it yourself, the invoice is passed to the system, which automatically checks that all required fields are there.

It gets a KSeF number

The system assigns a unique number and a date — proof that the invoice officially exists. The date it is sent to KSeF counts as the issue date.

Your client picks it up

Your business partner sees the invoice in KSeF straight away. Nothing needs to be sent or printed.

The invoice is archived

The system keeps it for 10 years, so you don't have to archive it yourself and you always have access to it.

If you have no internet access, an invoice can be issued in offline mode and sent to KSeF on the next business day — your sale is not blocked.

How you use it in practice

You don't need to learn government systems. In practice you have several options:

  • Through your invoicing or accounting software connected to KSeF — the invoice goes to the system with one click.
  • Through the free tools from the Ministry of Finance (Aplikacja Podatnika KSeF, e-mikrofirma) if you issue only a few invoices.
  • Easiest of all: your accounting office does it for you under an authorisation — you just provide the invoice details.

Using KSeF requires authentication (e.g. a Trusted Profile, a qualified signature, a company seal or a token) or an authorisation for the office. The biggest day-to-day change: you no longer email invoices — you view them in the system or in your client portal.

Who can — and who must use KSeF

Who can already

KSeF has been available voluntarily since 2022 — any business can start earlier, before the system becomes mandatory for it. Over time, every business will receive its invoices through KSeF.

Who must — and from when

1 February 2026
The obligation to issue e-invoices starts with the largest companies (sales above PLN 200 million in 2024). From this date, every business already receives its invoices through KSeF.
1 April 2026
The key date for most businesses — the obligation then covers all remaining active VAT payers as well as VAT-exempt businesses, including sole traders and small companies.
1 January 2027
The final stage for the smallest — businesses with sales up to PLN 10,000 gross per month.

Until 31 December 2026 there is a transition period — penalties for mistakes or a missing KSeF invoice are suspended, giving businesses time to prepare calmly.

Who KSeF does not cover (for now)

Invoices to consumers

Invoices to private individuals (B2C) are not issued through KSeF for now — the existing rules apply.

Receipts & simplified invoices

Receipts with a NIP up to PLN 450, treated as simplified invoices, stay outside KSeF.

Foreign firms without a seat in PL

Foreign entities without a fixed place of business in Poland are not required to use it — they may use KSeF voluntarily.

What you gain

What it means for you

In practice, mainly the route an invoice takes changes — instead of email and PDF there is one system. Less paper, less manual sending and a lower risk of an invoice getting lost. It does not change your tax form, payment deadlines or VAT rates.

Frequently asked questions

Do I need special software?
You don't have to buy anything. You can use the free government tools or your own invoicing software. Most often, the accounting office handles everything.
What about my foreign clients?
KSeF mainly concerns invoices between businesses in Poland. You send an invoice for a foreign client or a consumer the way you do now (e.g. as a PDF) — you can download it from the system.
What if I have no internet?
An invoice can be issued in offline mode and sent to KSeF on the next business day. Your sale is not stopped.
Do receipts also go to KSeF?
Ordinary receipts and simplified invoices up to PLN 450 stay outside KSeF for now.
Can the office do it for me?
Yes. Under an authorisation, the office issues and receives e-invoices on your behalf — the most convenient option.
